Role Overview

Responsible for the day-to-day management, optimization, and development of the organization’s membership CRM (HubSpot) and supporting WordPress website. The role is primarily focused on CRM, data integrity, integrations, reporting, and member operations (approximately 75%), with secondary responsibility for website content management and performance (approximately 25%). Works closely with marketing, events, and operations teams to support membership growth, engagement, and data-driven decision-making.

Key Responsibilities

HubSpot CRM & Membership Database Management (75%)

  • Administer and optimize HubSpot CRM to support membership lifecycle management, events, communications, and reporting

  • Build event registration and website pages as required to support all symposia and networking events.

  • Manage member records, including data uploads, mass updates, deletions, and sponsored member management

  • Maintain data integrity, profile accuracy, and security through ongoing audits, validation rules, and governance practices

  • Integrate data across systems (events, payments (Stripe), email marketing, surveys, and website) to ensure consistency and accuracy

  • Generate and deliver regular and ad-hoc reports on membership growth, awards and speaker, and other ad-hock reports as required by the team.

  • Provide user support and training for internal teams using HubSpot, including troubleshooting and documentation

  • Monitor system performance, identify enhancement opportunities, and support implementation of new modules or features

  • Ensure compliance with data security, privacy, and access control requirements

WordPress Website Management (25%)

  • Manage WordPress website content, including creating, editing, publishing, and maintaining accurate, up-to-date information

  • Coordinate website updates to support membership programs, events, and marketing initiatives

  • Monitor website performance, analytics, and basic SEO best practices

  • Perform routine website maintenance, updates, and troubleshooting

  • Collaborate with UX designers or developers as required to improve user experience

  • Ensure website security, hosting performance, and functionality align with organizational needs

Job requirements

Qualifications & Skills

  • 3–5 years of experience managing membership databases or CRM systems (HubSpot preferred)

  • Strong experience with:

    • CRM platforms (HubSpot)

    • Email marketing tools

    • Event management systems

    • Online payment systems (Stripe preferred)

    • Data analysis and reporting

    • Microsoft 365

    • Survey and feedback tools

  • 2+ years of experience managing websites using WordPress or similar CMS platforms

  • Working knowledge of SEO, web analytics, UX principles, and content management

  • Advanced organizational, prioritization, and time-management skills

  • Ability to work independently with minimal supervision

  • Proven adaptability in fast-paced, evolving environments

  • Strong attention to detail with a focus on data quality and accuracy

  • Flexibility to work outside standard hours when required
