Job Summary:
The Executive Assistant provides administrative and operational support to senior leadership, ensuring efficient day‑to‑day operations and enabling executives to focus on strategic priorities. This role requires strong organizational skills, discretion, proactive problem‑solving, and the ability to manage multiple priorities in a fast‑paced environment.
Responsibilities:
Manage executive calendars, including scheduling meetings, coordinating across time zones, and prioritizing appointments
Prepare meeting agendas, materials, and follow‑up action items
Serve as a primary point of contact between the executive and internal/external stakeholders
Handle confidential and sensitive information with a high degree of professionalism and discretion
Coordinate domestic and international travel, including itineraries, logistics, and expense reporting
Support planning and execution of leadership meetings, offsites, and company events
Draft, review, and manage correspondence, reports, and documentation
Track key deliverables, deadlines, and initiatives on behalf of the executive
Assist with special projects, research, and process improvements as needed
Provide general administrative support such as filing, record keeping, and expense management
Support day to day office operations such as supply management, vendor communication, and general facilities support, including identifying and escalating maintenance needs
Job requirements
Experience Required:
Exceptional organizational and time‑management skills with the ability to manage multiple priorities simultaneously
Strong attention to detail and follow‑through
Excellent written and verbal communication skills
High level of professionalism, integrity, and discretion when handling confidential information
Strong judgment and problem‑solving abilities
Ability to work effectively in a fast‑paced, dynamic environment
Strong interpersonal skills and ability to build relationships with internal and external stakeholders
Education and Experience:
Bachelor’s degree or equivalent combination of education and relevant professional experience
3–7+ years of experience providing administrative or executive support to senior leaders
Experience in a corporate, global, or matrixed organization preferred
Experience coordinating complex calendars, meetings, travel, and expenses
Prior experience supporting confidential or sensitive business matters
To note:
FT Non – Exempt, weekly hours will differ based on business needs ranging from 30-40 hours per week.
